Make every deadline visible
If the only place a deadline lives is in someone's head or in an email, it will be missed. Deadlines belong on the case record and on a dashboard sorted by due date.
Plan capacity, not just due dates
Look at how many cases your technicians can finish per day. Avoid promising the dentist a date that breaks that limit.
Set up alerts before, not after
Alerts that fire after a case is overdue are too late. Configure alerts at, say, two days before the deadline.
Use the dentist portal
A doctor portal shows the dentist the real status, which prevents both surprise and panic when a case slips.
Review missed deadlines weekly
Once a week, look at the cases that slipped and ask why. Patterns will appear: a specific work type, a specific dentist, a specific stage.
